A person is better at this than any software, in every way except three: they are not there at nine on a Sunday evening, they cost whatever a person costs where you are, and they take weeks to become useful. Whether those three matter more than everything a person is better at is the actual question, and it depends on your volume.
What that option does well
- A person understands context nothing has written down — that this customer is difficult, that this job is not worth taking, that this enquiry is the third from the same street.
- They can make an exception, and know when to. Software asked to make a judgement it has no basis for produces something plausible instead of refusing.
- They can be held accountable, take responsibility, and get better because they care rather than because they were corrected.

The hours are the whole argument
Enquiries do not arrive during office hours; they arrive when somebody has a problem, which is disproportionately evenings and weekends. A part-time person covers the hours you pay for. The enquiry at nine on Sunday waits until Monday either way — unless something answers it, and that is the narrow, boring thing software is genuinely good at.
Cost, at the volumes this actually applies to
This is arithmetic rather than a measured claim, and the numbers are yours to fill in: a part-time person answering enquiries costs some multiple of a monthly subscription, and the gap only makes sense to close if enquiry volume is high enough to occupy them. Below that volume you are paying a person to wait. Above it, you probably want the person AND the out-of-hours cover.
It is not either-or at the point it matters
The realistic shape for most small businesses is not replacing anybody. It is answering the predictable questions automatically so the person you already have — often you — spends their attention on the enquiries that need judgement.
When this is the wrong choice
- If your enquiries need judgement more often than not — bespoke pricing, complex qualification — a person is the right answer and this will frustrate you.
- If you get a handful of enquiries a week, neither a hire nor a subscription is obviously worth it; answering them yourself is fine.
- If the work is regulated advice — clinical, legal, financial — nothing here should be answering it, and this product refuses to.
