The enquiry a gym never sees

The decision to join a gym or book a first class is rarely made in the morning. It is made late, usually on a phone, at the end of a day that prompted it — and often after weeks of intending to. By the time somebody fills in your form, the hard part has already happened inside their head.

The window is emotional, not commercial

This is what makes fitness enquiries different from most service enquiries. Somebody asking a plumber for a quote still needs the pipe fixed tomorrow. Somebody who decided at nine in the evening to change something about their life is working on motivation that has a short half-life, and every hour of silence gives it time to fade.

A reply the next afternoon does not arrive to the person who sent the enquiry. It arrives to a slightly different person, in a different mood, with the impulse gone and the reasons not to already reassembled.

What that costs, in the terms that matter

Membership businesses live on retention, so the value of a first visit is not the visit. It is the tail behind it — assume for the sake of the arithmetic that a member stays a year, and a single lost enquiry is not a lost class, it is a lost year. That is why the response time on an evening enquiry is worth more attention than it usually gets.

  • Enquiries arrive outside staffed hours, when the floor team is coaching rather than at a desk
  • The question is almost always the same — times, price, whether beginners are welcome — and it still waits overnight
  • A first-timer who does not hear back rarely asks twice; not hearing back confirms the fear that they would not fit in
  • Nothing in the system records the ones who never came, so the loss never appears in a report
Nobody sends a second enquiry to a gym that ignored the first. They conclude they were right to hesitate.

What fixes it

Almost nothing, in terms of effort. The questions are predictable enough to be answered accurately without anybody present — the class times, whether there is a trial, what to bring, that beginners turn up every week. Answer that within a few minutes of the enquiry landing and the motivation is still intact when the reply arrives, which is the entire game.
